New Feature: Back Office Suite for Event Organizers
Not every ticket sale happens through the front door.
Sponsors need comps. Partners expect a formal invoice. VIP guests call in and expect someone on the team to just take care of it. And behind the scenes, that usually means a manual workaround — a spreadsheet entry, a phone payment scribbled on a notepad, a reminder to print will-call tickets before gates open.
That’s why AttendStar has introduced the Back Office Suite, a new tool built directly into the Event Manager that gives organizers a structured way to create orders on behalf of a buyer, collect payment, send invoices, and deliver tickets — all from one guided workflow, without ever leaving the platform.
The goal is simple: give organizers the same control over off-platform sales that they already have over online ones.
The Challenge of Managing Orders Outside the Public Sales Flow
AttendStar’s ticketing platform is built to handle high-volume public sales smoothly. But every event also has a second, quieter category of orders that don’t fit that flow — comps for sponsors, partner allocations, phone-in purchases, special exceptions handled by a manager.
Without a dedicated tool, these orders tend to live outside the system entirely:
- Tracked in a separate spreadsheet
- Paid for by cash or check with no formal record
- Delivered manually, with no tie-in to the event’s actual ticket inventory
- Missing from reporting once the event closes out
That disconnect creates real risk. A comp ticket built outside the system can oversell inventory it was never deducted from. A cash sale with no reference ID becomes impossible to trace during reconciliation. And tickets issued by hand are often untraceable at the gate.
The Back Office Suite was built to close that gap.
How the Back Office Suite Works
The new tool lives right in the Event Manager, under Tools > Backoffice, and walks organizers through a single, structured workflow for building an order.
It starts with the buyer’s information — first name, last name, email, and phone. From there, clicking Add Tickets hands off to the same TSP checkout your public buyers use, so organizers are selecting from real, live ticket types rather than a disconnected internal list. Once checkout completes, the selection is locked in, and the organizer is returned to the Back Office page with an order summary ready for the next step.
Because it draws from the same inventory as your public sales page, every order placed through the Back Office Suite is deducted from the same pool. There’s no separate ledger to reconcile and no risk of a back-office comp accidentally overselling a section that’s already sold out online.
Payment Flexibility Built for How Organizers Actually Get Paid
Once tickets are selected, the organizer completes the order details:
- Order status — saved as a draft until finalized
- Payment method — cash, check, credit card, or comp
- Delivery method — email, SMS, or a printed ticket
- Check number and offline reference ID, for anything that needs a paper trail
- Internal notes, so the reasoning behind a comp or a special exception isn’t lost to memory a week later
These fields exist because real event payments rarely look like a single online checkout. A sponsor’s tickets might be comped. A partner might pay by check weeks later. A walk-up VIP request might get settled in cash on the spot. The Back Office Suite gives each of those scenarios a proper, trackable record instead of a workaround.
Invoicing That Protects Inventory While You Wait to Get Paid
When a formal bill is the right call, organizers can send a Stripe-powered invoice directly from the order, by email, SMS, or both. The invoice includes the event name, amount due, and a public payment link the recipient can use to pay.
Just as important is what happens behind the scenes: the moment an invoice goes out, the associated inventory is placed on hold until it’s paid, expires, or is cancelled. That means a partner who takes two weeks to settle up won’t cost the event a sold-out section in the meantime — and if the invoice lapses, that inventory returns automatically to the public pool.
Fulfillment and Order Management in One Place
Once an order is paid, fulfillment is built into the same workflow. Organizers can print tickets directly via Boca Lemur or deliver them electronically by email, without switching to a separate print queue or manually assembling a will-call packet.
Every order placed through the Back Office Suite also lands in a single management table, showing name, email, order ID, status, phone, and date. Hovering over any row surfaces the actions organizers need most:
- Edit the order, or open the receipt page to provide an electronic copy
- Mark as Paid the moment payment comes in
- Send Invoice when a formal bill is needed
- Cancel, which releases held inventory back to the public pool and kills every ticket number generated for that order — so nothing cancelled is still scannable at the gate
Reporting That Matches the Rest of the Event
Back-office orders aren’t treated as a separate category once the event wraps. They flow into reporting exactly like any other online order — the same totals, the same reconciliation, the same inventory counts. Whether a ticket sold itself online at 2 a.m. or an organizer built the order by hand for a sponsor, it shows up consistently when it’s time to close out the numbers.
A Smarter Way to Handle the Orders That Don’t Fit the Mold
Comps, partner invoices, phone-in sales, and VIP requests will always be part of running a live event. What matters is having a system built to handle them without falling back on spreadsheets and side workarounds.
With the Back Office Suite, AttendStar gives organizers:
- Real inventory, pulled from the same pool as public sales
- Flexible payment tracking for cash, check, card, and comps
- Built-in Stripe invoicing with automatic inventory holds
- One-click print and electronic ticket delivery
- A single table to manage and act on every order
- Reporting that lines up with everything else the event already tracks
For events that need to handle exceptions without losing control of inventory or accountability, the Back Office Suite delivers a workflow built specifically for that job.
